Privacy Policy
This Privacy Policy explains how EOB Decoder ("EOB Decoder," "we," "us") handles information when you visit our website and join our early-access waitlist. EOB Decoder is an independent appeal-drafting tool for small medical practices and is currently in early access.
Early access uses synthetic claims only. Please do not submit real patient data or protected health information (PHI) during early access. The website does not currently collect or process PHI. When the product later handles PHI, it will do so only under a signed Business Associate Agreement (BAA) with appropriate safeguards.
Information we collect
At this stage, the information we collect is limited to:
- Waitlist details you give us. When you join the early-access list, we collect your work email address and, if you choose to share it, an optional range describing how many denials your practice writes off each month.
- Basic technical and usage data. Like most websites, our hosting and content-delivery providers automatically record standard log information such as your IP address, browser type, and the pages you request, for security and reliability.
We do not ask for, and you should not send us, real patient information through the website during early access.
How we use information
- To contact you about your early-access spot and product updates.
- To respond to questions and requests you send us.
- To operate, secure, and improve the website and the product.
How we share information
We do not sell your information. We share it only with the infrastructure providers that help us run the service — for example, our hosting and content-delivery provider (Amazon Web Services, including CloudFront) — and only so they can process it on our behalf to deliver and protect the website. We may also disclose information if required by law.
Cookies and analytics
The website is a static page. We do not use marketing trackers or advertising cookies, and we do not run third-party analytics that profile you across sites. Standard server and CDN logs (described above) are the main way technical data is recorded.
Data retention
We keep your waitlist details for as long as needed to manage early access and tell you about the product, and then delete them when they are no longer needed or when you ask us to. Hosting and CDN logs are retained on our providers' standard schedules.
Your choices
- Unsubscribe. Every early-access email includes a way to opt out, and you can email us to stop hearing from us.
- Access or deletion. You can ask us to access or delete the waitlist information we hold about you by emailing privacy@eobdecoder.ai.
Security
We use reasonable administrative and technical measures to protect the limited information we collect. No method of transmission or storage is completely secure, but because early access does not involve PHI, the data we hold is minimal.
Children
EOB Decoder is a business tool for medical practices and is not directed to children, and we do not knowingly collect information from children.
Changes to this policy
We may update this Privacy Policy as the product evolves — for example, when we introduce features that handle PHI under a BAA. When we do, we will revise the effective date above.
